Privacy statement

Last updated on 30 September 2026. This is how we handle your personal data and cookies.

1. Who is responsible for your data

TechGents (Chamber of Commerce no. 85220647), based in Wageningen, the Netherlands, is the controller for the personal data processed via techgents.nl and the associated quote environment.

2. Which data we process

Contact form: name, email address, phone number (if provided) and the content of your message.

WhatsApp: if you contact us via the WhatsApp button on the website, we process your phone number and the content of that conversation as with any regular WhatsApp contact.

Quote process: the same data as above, supplemented with the project information needed to prepare and send a quote, such as desired services, budget indication and planning.

Website visits: anonymised visitor statistics via Google Analytics (see article 5), such as page views, referring website and device type. We do not collect special categories of personal data.

Business outreach: for businesses we approach with a free example design, we process public business data: company name, address, phone number, website and the business email address the company itself publishes on its own website. This data comes from public sources (OpenStreetMap and the company’s website). If you view the example design, we record the time, device type and viewing time without cookies.

3. What we use this data for

To contact you following a message or quote request.

To prepare, send and follow up on a quote.

To improve the functioning and findability of the website based on anonymised visitor statistics.

To approach businesses once by email with a free example design for their website, and to find out whether there is interest.

To comply with legal obligations, for example our tax obligation to retain invoices.

4. Legal basis and retention period

We process your data on the basis of your consent (for example when you submit the contact form), the performance of a contract (for an ongoing or completed project), or our legitimate interest in maintaining customer contact and improving our services.

For business outreach the legal basis is our legitimate interest (Article 6(1)(f) GDPR): bringing our services to the attention of business owners for whom they are relevant. We only email a business email address that the company itself publishes on its own website, and each company at most once. Every email contains an unsubscribe link. After unsubscribing we will not contact you again; we then only keep your email address and domain on a block list so it stays that way. Data of approached companies without further response is deleted no later than 12 months after the last contact.

We keep contact and quote data no longer than necessary for the purpose for which it was collected, with a maximum of 2 years after the last contact, unless a longer retention period is required by law (such as the 7-year tax retention obligation for invoices).

5. Cookies and similar techniques

We use Google Analytics (GA4) to measure how visitors use our website. These analytics cookies are only placed after you have given consent via the cookie notice on the website. IP addresses are anonymised.

Functional cookies necessary for the website to work correctly (such as remembering your cookie preference) are placed without prior consent, as permitted by law.

You can withdraw your consent for analytics cookies at any time by changing your browser settings or clearing your local cookie preference.

6. Sharing with third parties

We only share your data with third parties insofar as necessary for our services, such as our hosting provider (Google Cloud/Firebase) for storing quote and contact data, Google (Analytics) for anonymised visitor statistics, and Meta (WhatsApp) when you contact us yourself via the WhatsApp button.

Data processing agreements have been concluded with these parties, or their own GDPR-compliant processing terms apply. We never sell your data to third parties.

Data is only processed outside the EU insofar as our suppliers offer appropriate safeguards, such as Google’s EU-US Data Privacy Framework certification.

7. Security

We take appropriate technical and organisational measures to protect your data against loss or unlawful processing, including encrypted connections (TLS) and restricted access to our systems.

8. Your rights

You have the right to access, correct or delete your personal data, the right to object to processing, and the right to data portability. You can contact us for this via info@techgents.nl.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe we are not handling your data carefully.

9. Changes

We may update this privacy statement from time to time, for example when our services or the law change. The most recent version is always on this page.
